This page explains our policy on how we collect, use, and protect personally identifiable information on this Website and during any Event — both online and in-person conferences — operated by Agile on the Beach NZ (AOTBNZ).

What we collect (the basics)
Only what we need: contact, ticket, and technical info.
Ticketing and payments
Ticketing runs on WooCommerce/FooEvents; payments run on Stripe.
Your order details live in WooCommerce/FooEvents; and credit cards are processed via Stripe. Their systems have their own terms and privacy notices. We keep a record of your purchase (not your full card data).
Email updates and marketing
Opt in or out any time.
If you tick a box to receive news, we’ll email you via MailerLite or Mailchimp. You can unsubscribe with one click in any message. We keep a minimal suppression record so we don’t re-add you by mistake.
Cookies and analytics
We use cookies/analytics to understand Website use; you control cookies.
We may use analytics (e.g., Google Analytics) and essential cookies for things like checkout. Your browser usually lets you control or block cookies.
Photos and video at the Event
We capture the vibe; you can ask not to be photographed.
We may photograph/record the Event for community storytelling and future promotion. Crowd shots may include you. Tell us at registration if you prefer not to be photographed and we’ll provide a subtle opt-out indicator where feasible.
How we use it (why)
To run the Event, keep you informed, and meet our legal duties.
We use your information to process orders, send essential Event information, support accessibility/catering, improve our services, and meet tax/audit requirements. We won’t use your data for someone else’s marketing.
We may collect your name, email, role/company, ticket and transaction details, any dietary/access needs you volunteer, and basic technical data (IP, device, cookies). We don’t store full card numbers—Stripe handles card data.
Who we share it with (service providers)
Only with trusted providers who help us deliver the Event.
Typical providers include: WordPress (website), WooCommerce/FooEvents (ticketing), Stripe (payments), MailerLite/Mailchimp (email), analytics (Google/JetPack), and security/anti-spam tools (e.g., Akismet/Wordfence).
We don’t sell your data and we don’t allow third parties to market to you using our lists. If our providers change, we’ll update this section and link to their policies from our Website.
International storage and transfers
Some providers store data overseas; we use reasonable safeguards.
Because our providers are global, your data may be held outside NZ. We take reasonable steps to ensure it’s protected (contractual safeguards and vendor due diligence).
How long we keep it
Only as long as needed.
Ticketing/financial records are generally kept for 7 years (tax). Event media is kept as long as useful for community storytelling, then archived or deleted. Marketing data is kept until you unsubscribe.
Your choices and rights (NZ)
You can access, correct, or ask us to delete your info (where lawful).
Email trustees@agileonthebeach.co.nz to access or correct your data, or to request deletion where we’re not required to keep it. If we can’t resolve a concern, you can contact the Office of the Privacy Commissioner (New Zealand).
Security
We protect your data with sensible technical and organisational measures.
We use HTTPS, access controls, least-privilege, and reputable providers. If a privacy breach creates a real risk of harm, we’ll take appropriate steps and notify where legally required.
Minors
This conference is aimed at adults.
Our Website and Event are not intended for under-18s. If a minor attends (e.g., as a speaker’s guest), we’ll handle any personal information with care and with guardian involvement.
Changes to this policy
We’ll date changes here and highlight material updates.
We may update our Privacy Policy from time to time, with any changes applying from the Last updated date shown at the top of this page. If the changes are material, we’ll also take reasonable steps to let you know (e.g., a notice on the Website).
